This page explains what Court Systems collects through this website, why it is used, and the choices available to visitors.

Who is responsible for this website?

Court Systems operates courtsystems.ca and currently serves commercial Playkout inquiries in Canada excluding Québec. The Privacy Officer, Court Systems is responsible for privacy questions, access and correction requests, consent withdrawals and complaints, and can be reached at hello@courtsystems.ca.

Information you provide

If you contact Court Systems, the information received may include your name, email address, organization, facility location, project details, room dimensions, photographs and anything else you choose to provide. This information is used to respond to the inquiry, assess the requested service and communicate about the potential project.

Optional website analytics

With your permission, this website uses Google Analytics 4 and Microsoft Clarity. These services help Court Systems understand which pages are visited, how visitors navigate, where visitors click, how far they scroll, general device and browser information, approximate location derived from network information, and website performance or interaction issues.

Microsoft Clarity may create reconstructed session recordings from page structure and interactions; these are not camera or microphone recordings. Form input fields are masked by Clarity by default. Court Systems does not use these tools to intentionally collect the content you enter into form fields.

Your consent choice

Analytics storage is denied by default. Google Analytics and Microsoft Clarity are activated only after you choose “Accept analytics.” If you reject analytics, those optional scripts are not loaded. Your choice and the date it was made are stored in your browser for up to 12 months, after which the website asks again.

You may change or withdraw your choice at any time using the Privacy choices button at the bottom of the website. Withdrawing consent disables future analytics loading and attempts to remove related first-party analytics cookies.

Service providers

When analytics is accepted, information is processed by Google through Google Analytics and by Microsoft through Clarity, subject to their respective terms and privacy practices. Information may be processed outside Canada.

Cookies and local storage

Analytics services may place cookies after consent. The website also uses browser local storage to remember whether you accepted or rejected analytics. This preference storage is necessary to respect your choice.

How information is shared

Court Systems does not represent that it sells website visitor information. Information may be shared with service providers when necessary to operate the website, respond to inquiries or evaluate a Playkout project, and when required by law. Project information should only be shared with relevant parties for the purpose communicated to you.

Retention

General sales inquiries that do not become active projects are retained for up to 24 months after the last meaningful interaction. Active project and customer records are retained while the relationship is active and generally for up to seven years afterward where needed for contractual, tax, accounting or legal purposes. Information that is no longer required is deleted or anonymized, subject to legal holds and backup cycles.

Google Analytics user-level data is configured by the account administrator and should be limited to 14 months. Microsoft states that Clarity playback data is retained for 30 days, while click data, heatmaps and favourited sessions may be retained for up to nine months. The analytics-consent preference stored in your browser expires after 12 months.

Safeguards

Court Systems limits access to personal information to people and service providers who need it for the stated purposes and uses reasonable administrative and technical safeguards appropriate to the information. No website or email transmission can be guaranteed completely secure.

Your privacy rights and complaints

You may ask what personal information Court Systems holds about you, request a correction, withdraw consent where applicable, or ask that information be deleted when it is no longer required and no legal obligation requires retention. Contact the Privacy Officer at hello@courtsystems.ca. Court Systems will verify the requester’s identity and respond within the timelines required by applicable law. If a concern is not resolved, you may contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy regulator.

Changes to this policy

This policy may be updated when website tools or information practices change. The current revision date will be shown at the top of this page.
